Billing, Cancellation and Refund Policy

How AskWatch subscriptions, the prepaid balance and usage beyond a plan are billed, how taxes apply, how to change or cancel a plan, and when a refund is possible.

Last updated: 12 October 2026

This billing, cancellation and refund policy (the “Policy”) is an integral part of the AskWatch Terms of Use (the “Terms”) of ESTERSON LIMITED (“AskWatch”, “we”, “us”) and supplements them as follows. Unless this Policy states otherwise, it uses the same terms and definitions as the Terms. Since the Terms are the contract between AskWatch and its users, you should read them for a comprehensive understanding of the rights and obligations associated with using the AskWatch Platform, including any API or other interfaces we make available, and our products and services (for the purpose of this Policy, jointly the “Platform”).

BY USING THE PLATFORM OR PURCHASING A SUBSCRIPTION OR ANOTHER ASKWATCH SERVICE, YOU AGREE TO BE BOUND BY THE FOLLOWING TERMS.

1. Scope and accessibility of this Policy

  • Scope. This Policy explains the rules of the subscription, the prepaid balance and usage beyond a plan's allowance, how taxes are charged, how you can change or cancel a subscription, what happens when a payment fails, and sets out the only conditions under which you can request a refund of amounts you have already paid.
  • Accessibility. You can find this Policy in the footer of our website and at https://askwatch.ai/billing. Please read it carefully before making any purchase, and do not complete the purchase if you do not agree with this Policy.
  • Relation to the Terms. If this Policy and the Terms conflict on a matter of billing, cancellation or refunds, this Policy prevails.

2. Subscription and billing

  • Subscription and fees. Access to the paid features of the Platform is subscription-based: you must pay the subscription fee to use them. Each plan includes a monthly allowance of AI answers that we collect for you (the “Allowance”). For the purpose of this Policy, the subscription fee and the other fees described in this Policy are jointly referred to as the “Subscription Fee”.
  • Plans and prices. The available plans, their sizes, prices, Allowances and the rates for usage beyond the Allowance are those published on the pricing page at the time of your purchase, and they are shown to you before you pay. At any time, you can see your plan, its Allowance and what you have used in the billing settings of your account, or obtain this information by contacting us as described in Section 10. Plans agreed with us individually are governed by Section 9.
  • No free trial. We do not offer free trials of paid plans. Some features of the Platform, such as a first check of a brand and our free tools, may be available free of charge.
  • Billing Period. A subscription is billed monthly. The first billing period starts on the day you subscribe, and each following one starts on the same day of the next month (each, a “Billing Period”). The Subscription Fee is always payable in advance, at the start of each Billing Period. Payments are processed by our third-party payment provider, Stripe, using a bank card or another payment method that it supports.
  • Recurring Payment. By purchasing a subscription, you authorise us, through our payment provider, to charge your payment method automatically the Subscription Fee of your chosen plan at the start of each Billing Period, including on renewal (the “Recurring Payment”), until the subscription is cancelled.
  • Renewal. At the end of each Billing Period, the subscription automatically renews for a successive period of the same duration unless you or AskWatch cancel it. Each renewal triggers a Recurring Payment. Keeping track of your renewal date is your responsibility. Your right to cancel renewals and how to do so are explained in Section 5.
  • Allowance. An AI answer counts against the Allowance when it is collected for you. The Allowance starts afresh at the start of each Billing Period. Any part of the Allowance not used in a Billing Period does not carry over to the next one and is not refunded or credited.

3. Prepaid balance and usage beyond the Allowance

  • Prepaid balance. While you have an active paid plan, you can top up a prepaid balance in US dollars from the billing settings of your account, starting from the minimum amount shown there (the “Balance”). A top-up is charged when you make it, and the Balance is credited with the amount of the top-up excluding any taxes charged on it.
  • Usage beyond the Allowance. When the Allowance of a Billing Period has been used and usage beyond the Allowance is turned on for your account, the AI answers collected for you are paid from the Balance at the rate of your plan published on the pricing page. You can turn usage beyond the Allowance off and set a spending cap for each Billing Period in the billing settings. If it is turned off, the cap is reached or the Balance is not enough for the next scheduled collection, collection pauses until the next Billing Period starts, the Balance is topped up, the cap is raised or the plan is changed. AI answers already collected are charged.
  • Automatic top-up. You can turn on automatic top-up in the billing settings by choosing an amount and a threshold. While it is on, you authorise us, through our payment provider, to charge your saved payment method the chosen amount each time the Balance falls below the chosen threshold. You can change or turn off automatic top-up at any time.
  • Nature of the Balance. The Balance is a prepayment for the use of the Platform. It does not expire, but it can be used only while you have an active paid plan. It is not redeemable for cash, cannot be transferred to another account or organisation and, unless applicable law requires otherwise, is non-refundable, including when your subscription ends. If a top-up is refunded or reversed by a chargeback, its amount is deducted from the Balance.

4. Change of subscription plan

  • Upgrade. You can move to a larger plan at any time through the Platform, where available, or by contacting us as described in Section 10. An upgrade takes effect immediately: the larger Allowance applies from that moment, and we charge you the difference between the new Subscription Fee and the amount you have already paid, prorated for the remainder of the current Billing Period.
  • Downgrade. You can move to a smaller plan at any time, and the change takes effect at the start of the next Billing Period. Until then, your current plan and its Allowance remain in place, and no amount is refunded or credited for the current Billing Period. You can withdraw a scheduled downgrade before it takes effect.

5. Cancellation

  • Cancellation request. To cancel the renewal of your subscription, use the cancellation option in the billing settings of your account, or send a request to hello@askwatch.ai from the email address linked to your account. The request must clearly state that you want to cancel the subscription. You do not need to give a reason. To protect your account, we may ask you to confirm that you control the account before we act on the request.
  • Cancellation terms. A cancellation takes effect at the end of the Billing Period already paid for, and you can withdraw it until then. A subscription renews automatically on its renewal date unless your cancellation request reaches us before that date. A cancellation request received after the renewal date takes effect from the end of the Billing Period that has just started, and that period is not refunded. No refunds or credits are issued for unused portions of a Billing Period, for unused Allowance or for plan changes.
  • Cancellation consequences. When the paid Billing Period ends, collection of AI answers stops and you lose access to the paid features of the Platform. Your projects, prompts and settings remain in your account. The history collected under the subscription (the AI answers, the brands and sources found in them, and the daily metrics built from them) is kept for 60 days after the subscription ends and then deleted. If you subscribe again within those 60 days, the history is available to you again.

6. Failed payments

  • Retries. If a Recurring Payment fails, the subscription becomes past due. Our payment provider retries the payment automatically during the following 7 days, and we notify the owner, the admins and the billing contacts of your account by email after each failed attempt. Collection of AI answers continues while the payment is retried. You can update your payment method in the billing settings at any time.
  • Cancellation for non-payment. If the payment is still not made 7 days after the first failed attempt, the subscription is cancelled, collection of AI answers stops and Section 5 applies, including the deletion of the history 60 days after the subscription ends. The cancellation does not release you from the obligation to pay the amount due.

7. Taxes

  • Prices exclude taxes. All prices are stated in US dollars and exclude value added tax (VAT) and similar taxes.
  • How tax is charged. Where we are required to charge VAT or a similar tax, it is calculated by our payment provider from the billing address and any tax identification number you provide at checkout, added to the amount charged, and shown on your invoice. If you provide a valid VAT identification number of a business established in a member state of the European Union other than Cyprus, VAT is not charged and the reverse-charge mechanism applies.
  • Accuracy of tax details. You are responsible for the accuracy of the billing address and tax identification number you provide. Invoices and receipts are issued electronically and are available in the billing settings of your account.

8. Refund

  • No refunds. Every AI answer we collect for you costs us real money with third-party providers. For this reason, except for the single case described below and unless applicable law requires otherwise, Subscription Fees are non-refundable once paid. Top-ups of the Balance are non-refundable as set out in Section 3.
  • The only exception. A refund of the Subscription Fee for a paid Billing Period may be granted if there was no real use of the service in that Billing Period, meaning that no prompts were run and no AI answers were collected for your account in that period.
  • How to request. Send your request to hello@askwatch.ai from the email address linked to your account, identifying the payment concerned. We verify eligibility against our usage records for the Billing Period.
  • Refund process. Refunds are issued only after eligibility is verified. They are made to the payment method used for the original transaction; if that method is no longer available, we may, at our discretion, use another method. Refunds are issued without undue delay, normally within 14 days of confirming eligibility.

8.1 Ineligible refund requests

For the sake of transparency, you are not eligible for a refund, including when:

  • prompts were run or AI answers were collected for your account during the Billing Period, however few, and whatever the reason you stopped using the Platform;
  • you consider that the Platform does not meet your expectations or business needs, where the no-use condition above is not met;
  • you repeatedly request refunds without valid reason, attempt to exploit this Policy, or provide false information to support a refund request;
  • you fail to cooperate with the review of a refund request, for example by not providing information we reasonably request, or you withhold material information;
  • you have breached the Terms, including by using the Platform for illegal activities or sharing your account with others; or
  • we reasonably suspect that the payment was made by fraudulent means, such as stolen card details or identity theft.

8.2 Chargebacks

  • If you disagree with a charge, please contact us first so that we can resolve it. If a chargeback is initiated on your payment, we may share with our payment provider and your card issuer the information necessary to respond to it: your name, email address, subscription details, amounts paid, billing address, a description of the dispute, our correspondence with you and records of your use of the Platform.

9. Plans agreed individually

  • Some plans, such as plans with custom limits and rates, are agreed with us individually and confirmed in an order form or another written agreement. The prices, Allowances, rates, billing periods and payment terms set out in that agreement apply to such a plan, and where that agreement conflicts with this Policy, the agreement prevails. In all other respects, this Policy applies.

10. Support

  • For any questions about the Platform, including subscription management, the Balance, taxes, cancellation or refunds, contact us by email at hello@askwatch.ai. We reply by email. You can also reach us through the contact page.

11. Cancellation and refund for EU consumers

  • Applicability. This Section 11 applies only to residents of the European Union who are consumers within the meaning of Directive 2011/83/EU.
  • Right of withdrawal. You have the right to withdraw from the contract and cancel your subscription within 14 days from the date of your first purchase of the subscription, without giving any reason, unless you have lost that right as described under “Your consent” below. The right is subject to the following conditions:
  • it can be used once, within 14 days from the first purchase of the subscription, and does not apply to renewals or other recurring purchases;
  • the 14-day period cannot be extended; after it expires, you can manage your subscription as described in Sections 4 and 5;
  • to meet the deadline, it is sufficient to send your withdrawal notice before the period expires. The notice must be an unequivocal statement sent to hello@askwatch.ai and include: (i) your full name; (ii) the email address linked to your account; (iii) an email address for correspondence, if different; (iv) your physical address; (v) the service you want to cancel (for example, your subscription); and (vi) the date of purchase. You can find (v) and (vi) in the receipt you received after payment.
  • Your consent. By purchasing a subscription or topping up the Balance, you expressly request that we begin performing the service immediately, within the withdrawal period, and you acknowledge that you lose your right of withdrawal once performance has begun, that is, once prompts are run or AI answers are collected for your account. Once performance has begun with your consent, the no-refund rule in Section 8 applies.
  • Effects of withdrawal. If you validly withdraw before performance has begun, we will reimburse the payment received from you without undue delay and in any event no later than 14 days from the day we receive your withdrawal notice. We will use the same means of payment as you used for the initial transaction, and you will not incur any fees as a result of the reimbursement.
  • Anti-fraud measures. Refunds are made only to the payment instrument used for the initial payment. If that instrument is no longer available, a refund to a different instrument may be made at our discretion. If we reasonably suspect fraud, money laundering or illegal cash-out, we may withhold or refuse a refund while we investigate, including in connection with chargebacks or disputed transactions.

12. Miscellaneous

  • Changes and updates. We may modify or update this Policy at any time. We will publish the updated Policy at https://askwatch.ai/billing, change the date at the top of this page and, where the changes are material, notify you by email. Changes do not affect payments made before they take effect.
  • Interpretation. The word “including” is illustrative and does not limit the generality of the preceding words. A reference to the singular includes the plural and vice versa. Personal pronouns referring to natural persons are gender-neutral. Headings are for convenience only and do not affect the interpretation of this Policy. AskWatch and you may each be referred to as a “Party” and together as the “Parties”.
